POSITION VACANCY - STAFF ASSISTANT

The Carolina Theatre of Durham, Inc., the nonprofit corporation that
operates and programs the historic entertainment complex, seeks a full
time Donor Relations Associate (DRA). The DRA will support efforts to
sustain and improve donor relations; assist management in efforts to
develop donated resources both cash and in-kind and work directly with
volunteer leadership and volunteer groups to facilitate fundraising
activity. Associate shall ensure that appropriate systems and procedures
are in place to maintain donor records and support fundraising goals.
Key responsibilities include light bookkeeping and data management as
the DRA administers donation receipts, transaction reports, record
keeping (electronic and hard copy files) and up-to-date donor database.
The DRA shall generate reports, proposals, and letters of agreement.
He/she will maintain workplace giving campaigns, process donor matching
gift forms and pledge reminders as well as research/maintain information
on funding prospects including history, interest, guidelines &
requirements.
Associate shall maintain liaison with assigned sponsors, theatre staff,
project leaders, working committees and donor/members. Actively
collaborate with volunteers to achieve fundraising objectives,
coordinate the efforts of interns, volunteer groups and committees.
He/she will prepare necessary documents for supervisor's use in
meetings; shall attend 1-2 monthly meetings of the Board of Trustees;
take attendance and prepare minutes.
The DRA provides quality customer service to donor/members,
acknowledgements, letters of gratitude, receipts, member and sponsor
benefits, renewals, and invitations. Associate will assist the Marketing
Department to administer donor/member communications and promotions
while striving to create and sustain a sense of community. Strategic
Communication Plan includes newsletters (online and hard copy), theatre
playbill, annual membership campaign, brochures, holiday greetings and
interactive contests.

Education and Ability
• Work requires knowledge of basic math and record keeping.
• Work requires research and communications principles normally acquired
in College.
• Must possess well developed writing ability and appreciation for
standard rules of grammar, sentence structure and syntax.
• Four year degree preferred, comparable work/life experience in
addition to Associate Degree will be considered.
• Excellent ability to handle multiple deadline-oriented tasks.
Attention to detail, excellent interpersonal skills, exceptional
organizational skills are required.
Experience
Preferred candidate will possess:
• Four or more years of related secretarial/clerical experience needed
to acquire the skills necessary to administer complex office functions
related to office management, communications, data management and light
bookkeeping activity.
• Proficiency in Excel, Word and Web-based e-newsletter software.
Experience with Fundraising and fund development software a plus.
• Experience managing volunteers a plus.
• Experience initiating, organizing and executing fundraising activity a
plus.
Job Location: Durham, NC
Non-private office; attire is ‘corporate casual’ most days with business
attire a few days per month. Most shifts are daytime but occasional
evening and weekend work is required due to activity related to
performing arts and film events.
